When is salary processed?
Salary is typically processed at the end of each month. The exact date depends on your organization's payroll cycle configured in Configuration > Payroll. Most organizations process payroll between the 28th and 1st of the month.
How do I view my payslip?
From the mobile app or ESS Portal, navigate to My Salary and select the month. From the admin panel, go to Reports > Salary > Payslips. Payslips can be downloaded as PDF.
What is the difference between a Salary Template and Salary Structure?
A Template defines which earnings and deductions to include (e.g., Basic + DA + HRA - EPF - ESI). A Structure uses a template and specifies the actual amounts (e.g., Basic = ₹25,000, DA = ₹5,000, HRA = ₹12,500). Think of templates as the formula and structures as the filled-in values.
How are loans deducted from salary?
Once a loan is approved, the monthly EMI is automatically deducted during Salary Process. The EMI is calculated as: Loan Amount ÷ Tenure Months. For example, a ₹60,000 loan with 12-month tenure = ₹5,000/month EMI. The deduction appears on the payslip under "Loan Deduction".
How is TDS calculated?
TDS is auto-computed based on the employee's annual income, Form 12BB declarations, and the applicable tax regime (Old or New). Monthly TDS = (Annual Tax Liability ÷ Remaining months in FY). Declarations under 80C, 80D, HRA, etc. reduce the taxable income and lower the monthly TDS amount.
What should I do before running Salary Process?
- Ensure Attendance Process is completed for the month
- Verify all attendance corrections are approved in Approvals
- Confirm all loan and claim approvals are finalized
- Upload any one-time incentives or deductions via Excel (if applicable)
- Verify statutory settings are current (EPF, ESI, PT rates)
Can I reprocess salary for a past month?
Yes. Go to Salary Process, select the past month and year, and click Process Salary again. The system recalculates based on the latest attendance and configuration data.
What happens if an employee has no salary structure assigned?
The employee will be skipped during Salary Process. No payslip is generated for them. Always verify that all active employees have a current salary assignment before running payroll.
